Job's Purpose

As a member of  the Health and Safety team, the Occupational H&S Coordinator’s role is responsible for assisting with the comprehensive administrative tasks necessary to fulfill the required International and European legislation.

The requirement is to support developing and maintaining a H&S program, to ensure all our separate businesses throughout Europe have the statutory H&S requirements in place, assist with the administrative development of these and ensure ongoing compliance with the site specific policies, control measures and procedures.

This position will report directly to the EMEA Occupational Health and Safety Manager and will provide the necessary support to implement and deliver a comprehensive OH&S program for all sites, meeting statutory compliance and best practice requirements.
 
Duties and Responsibilities include;

    Become an integral part of a pro-active occupational health and safety programme thereby assisting/supporting in the development of all necessary safety policies and procedures, records and plans, to meet on-going compliance with legislative requirements at all European sites.
    Assist with development of a new International H &S site web portal, supporting International Health and Safety policies, procedures and guidelines.
    Administer timely safety data and management reports, including KPI, safety monitoring reports, gap-analysis activities, non-conformances and improvement plans.
    Administration of effective, regular communications of Health and Safety briefings focused on key subject areas, to enhance the H&S communication and consultation process.
    Organizing regular meetings with the various business leads, managers and FM’s in Europe (primarily within Ireland and the UK), to assess and ensure all regulatory activities are in place including procedures, safety consultation forums with employees and follow up reviews.
    Compile/maintain a risk assessment register for all sites across Europe (site specific RAMS), for all hazards, new activities, including on boarding of M&A businesses, for each site specific business.
    Maintain/administer master log of all site specific safety statements and safety programs/ arrangements as required by legislation, for all international sites.
    Manage the general H&S Query mailbox requests, escalating to the H&S Manager and to others where necessary.
    Assist with all site employee queries, in relation to requests for Health and Safety procedures and guidelines, assisting or escalating all technical queries, where necessary.
    Support timely and accurate monitoring and administration of Accident and Incident reports and  safety related action updates, supporting to ensure each site is consistently adhering to correct accident investigation and reporting resolution procedures, as necessary.
    Support with the delivery/development of H&S On-line Training modules – tailoring each to meet specific business site hazards & country legislative requirements/laws.
    Correspondence and liaison with external government bodies (H& SA, HSE, fire officers, environmental officers) supporting the development of required policies and procedures and ensuring statutory records are maintained at all sites.
    Compile and maintain all sites safety inspection/audit records, to be available upon request from any external regulatory audits conducted.
    Liaise with all site FM’s/Office Managers to monitor/review relevant H&S related information/status of required evacuation, emergency response plans,  plant, equipment, chemical & vehicle maintenance, to ensure compliance.
    Liaise with other business partners - FM, IT and others relating to contractor compliance safety audits, regularly assessing all international site compliance with safety work & access permits, method statements and risk assessments.
    Administer H&S projects, meeting notes/ minutes for related H&S projects.

Requirements:-

    Certificate or higher in H&S, with good knowledge of H&S legislation and statutory requirements. (Preferably Ireland and UK legislation).
    Minimum of 3 years demonstrable H&S occupational experience, relating to administration of safety policies/procedures/risk assessments.
    Excellent MS proficiency in Word, Excel and PowerPoint – supporting all administrative requirements.
    Strong self-management, Organisation and administrative skills.
    Excellent communication, presentation and training skills
    Meticulous – with great attention to detail
    Ability to work on own initiative, under pressure, prioritizing workload to ensure all administrative deadlines are met.
